  1. Purpose:

    1. To act as a communication link within the Agency and between the Agency and external constituents through verbal and written communications, reports and related correspondence.

    2. Perform daily tasks which make provisions for meeting basic personal needs, clothing and opportunities for artistic expression for residents in treatment.

    3. Assist in supporting the administrative operations of the Agency.

  2. Qualifications:

    1. High School diploma and advanced training in data entry or computer technology.

    2. Ability to confer and relate constructively with a range of individuals.

    3. Conscientious and has the ability to manage multiple tasks.

    4. Demonstrated skill in data entry, word processing and typing.

    5. Skill and knowledge in grammar, spelling and punctuation.

  4. Principal Accountabilities:

    1. Serve as receptionist to clients and others coming to the Agency, and receives calls and directs them to the appropriate person.

    2. Act as coordinator of all incoming mail and monitor dollars received.

    3. Maintains inventories of crafts and client personal needs, orders clothing and secures items from local stores when necessary.

    4. Maintain general office supplies of Agency and prepare purchase orders.

    5. Assist applicants for Agency employment and applications/referrals for admission to services with routine matters such as filling out appropriate forms, applications, directing them to the appropriate person in the Agency, etc.

    6. Maintenance of Board of Directors minutes, policy and other Agency records including filing, verification of completeness, and general organization of files and records.

    7. Maintain personnel schedules and inform others of schedules for administration, supervisors, youth workers, maintenance, clerical staff, etc. as needed.

    8. Prepare response mailings for all donations received by the Agency.

    9. Assist the Office Manager with providing reports, accounts payable purchase order system and documentation of other financial transactions of the Agency.

    10. Act as billing assistant for all client services.

    11. Perform other duties assigned by supervisor.
